 Callura

October 8, 2026

“I don’t want them to feel uncomfortable that we are replacing their duties.”

A dental practice owner told us that on a call this summer, and he wasn’t talking about cost or software. He was talking about his team. The people who know every patient by name, calm down the nervous ones and keep the schedule from falling apart on a Tuesday afternoon.

He was right to worry about them. And it’s the most important thing to get right when you think about AI on your phones.

**Short answer: an AI receptionist shouldn’t replace your front desk. Your team is best at the patients in front of them, judgment calls and relationships. An AI virtual assistant is best at the calls they can’t physically take: nights, weekends, closed days, the morning rush and the lunch hour. The practices that do this well use both, with the front desk first and AI as backup.**

## What owners tell us about their phones

We’ve had a lot of conversations with practice owners. The same problems come up again and again, and almost none of them are about the front desk working too little:

- “Six to eight voicemails before the day even starts.”
- “Staff call the voicemails back the next morning,” by which time many callers have booked somewhere else.
- A new practice open only on Mondays and Fridays, with no front desk at all on the other days.
- About 15 missed calls a day at the top of the hour, while the front desk is checking patients in and out.
- “After-hours staffing is costly,” and still doesn’t cover the weekend.
- A growing practice that couldn’t take on more patients without hiring four more people.

That last one is the real question. Not “AI or people?” but “how do we cover every call without burning out the people we have?”

## What your front desk does that AI shouldn’t

- **The patient in front of them.** Check-in, check-out, the anxious first visit, the family of five with one insurance card.
- **Judgment calls.** A billing dispute, a complicated treatment question, a patient who just needs a human voice.
- **Relationships.** Remembering which patient prefers mornings and always asks about her grandson.
- **Running the office.** Insurance claims, schedule changes, the hundred things that keep the day moving.

## What an AI virtual assistant does better

- **Answers when nobody else can.** Nights, weekends, holidays and the days your office is closed. For plenty of practices, that’s four days out of seven.
- **Handles several calls at once.** The morning rush doesn’t create a hold queue.
- **Answers in seconds, every time.** No voicemail, no “we’ll call you back tomorrow.”
- **Books into your PMS during the call** and checks insurance eligibility while the patient is still on the line.
- **Never gets worn down.** The 3 PM call gets the same patience as the 9 AM one.

## Front desk vs. AI, side by side

| | Front desk team | AI virtual assistant |
| --- | --- | --- |
| Greets patients at the counter | ✓ | ✗ |
| Handles complex judgment calls | ✓ | ✗ |
| Answers calls at 8 PM on a Saturday | ✗ | ✓ |
| Answers several calls at the same time | ✗ | ✓ |
| Books appointments in your PMS | ✓ | ✓ |
| Checks insurance eligibility on the call | ✓ | ✓ |

The AI column reflects what Callura does. Other AI receptionists vary; see our [comparison of AI call answering platforms for clinics](https://www.blog.callura.io/callura-blog/best-ai-call-answering-platforms-for-clinics).

## What another front desk hire actually costs

The median wage for receptionists in the US was $18.27 an hour in May 2025, according to the [Bureau of Labor Statistics](https://www.bls.gov/ooh/office-and-administrative-support/receptionists.htm), about $38,000 a year before payroll taxes, benefits, training and turnover. And one more person covers the shifts you schedule, not 8 PM on a Saturday.

One honest distinction: time your team gets back is not the same as payroll saved. If an AI virtual assistant takes the overflow and after-hours calls, that time usually goes into better care at the front desk, not a smaller payroll. Count it as capacity, not savings, unless you actually change staffing. For the full math, see our [dental ROI guide](https://www.blog.callura.io/callura-blog/ai-receptionist-roi-dental-practices).

## Nothing about what already works has to change

The other worry we hear just as often isn’t about the team. It’s about the workflow. Your practice has a way of doing things that works: how new patients get booked, which provider sees what, how insurance gets checked, who calls back whom. Nobody wants to rip that out and start over.

You shouldn’t have to. Callura is built on top of the workflow you already have. It books into the same PMS, follows the same rules your front desk follows and hands off calls the same way your team already does. There are no new systems for your team to learn and nothing extra for them to do.

What changes is that the calls that used to fall through the gaps, the 7 PM toothache, the Saturday new patient, the third line ringing during check-in, now get answered, booked and logged where your team will see them in the morning. Think of it as one more teammate whose whole job is making sure nothing slips through the cracks.

## How the best practices combine them

At Slim Dental, the largest dental practice in Manhattan, the office phone rings first. If nobody on the team picks up within 15 seconds, the AI virtual assistant answers. The front desk stays in charge; the assistant catches what they can’t. At Xanadu Med Spa, the front desk handles the day and Callura takes every call after they close.

A few rules that make it work:

1. **Front desk first.** Let your team answer when they can, and send the overflow and after-hours calls to the assistant.
2. **Clear handoffs.** Decide which calls always go to a person, and what happens when nobody is free.
3. **One schedule.** The assistant books into the same PMS your team uses, so nobody re-enters anything.
4. **Morning review.** Your team sees every call, booking and transfer in one dashboard, with urgent ones first.
5. **Bring your team in early.** Show them the demo before launch. It’s much easier to welcome help you’ve heard for yourself, especially when it takes the 7 PM calls that used to wait on voicemail.

## Where Callura fits

Callura is an AI virtual assistant for dental practices and med spas, often called an AI receptionist. It answers 24/7, books, reschedules and cancels in your PMS, checks insurance eligibility on the call and hands patients to your team by your rules. It goes live in under one week with less than two hours of your team’s time.

We built it because the front desk shouldn’t have to choose between the patient in front of them and the phone ringing behind them.

**If you’re a practice owner who wants every call answered without asking your front desk to do more than they already do, you’re exactly who we want to work with.**

## Frequently asked questions

### Will an AI receptionist replace my front desk staff?

It shouldn’t. The best setup uses AI for the calls your team can’t take, such as after hours, weekends, closed days and overflow, while your front desk handles patients in the office, judgment calls and relationships.

### Is an AI receptionist cheaper than hiring another receptionist?

Often, but they do different jobs. A receptionist costs about $38,000 a year in median wages before benefits and covers scheduled shifts; an AI virtual assistant covers nights, weekends and several calls at once. Compare the full cost against the coverage you actually need.

### How do I get my front desk team on board with AI?

Show them the demo early, make it clear which calls always go to a person, and let them see every call and booking in one dashboard. When the assistant takes the after-hours and overflow calls, their day usually gets easier, not smaller.

### Do we have to change our workflow to use an AI receptionist?

No. Callura is built on top of your existing workflow. It books into the PMS you already use, follows your current booking and handoff rules, and adds nothing new for your team to do.

### Should the AI or the front desk answer first?

For most practices, the front desk first. Let the office phone ring for a set time, then send unanswered calls to the AI, and route all after-hours calls to it.
