A patient calls after closing. They want to know whether you accept their insurance and whether they can come in tomorrow. A useful demo should show what happens from that first question through the appointment appearing in your schedule.

**To choose AI voice agents for your practice, test the complete patient journey: conversation quality, scheduling, PMS connectivity, insurance eligibility, SMS, and human handoff.** Then check how much work your team needs to launch and manage the service.

## 1. Bring real calls to the demo

Write down three situations your front desk handles every week. Use the same scenarios with each provider so you can compare what actually happens.

- A new patient asks about a service, checks availability, and books.
- An existing patient needs to reschedule and has an insurance question.
- A caller asks for something that needs a person on your team.

Listen for clear answers, natural pauses, and the ability to handle a correction. If the caller changes their preferred day halfway through, does the agent follow the conversation? Ask to see the final appointment or staff note, too.

## 2. Check what the PMS connection actually does

A list of supported systems is a starting point. The important question is whether the agent can complete your practice’s workflow in the system you already use.

Ask the provider to demonstrate availability checks, booking, and rescheduling using your appointment types, locations, and provider rules. Confirm how changes appear in the PMS and what staff must still do manually.

**Ask:** “Can you show me the appointment in our schedule after the call, including the right location and appointment type?”

Callura supports practice management systems and calendars including Dentrix, Denticon, Open Dental, Eaglesoft, NexHealth, ModMed, Zenoti, Vagaro, and Mindbody. [Explore Callura’s capabilities and PMS integrations](https://www.blog.callura.io/en/ai-voice-agents-pms-integrations) and discuss the workflow you want to configure.

## 3. Test insurance and follow-up in the same journey

If patients ask about insurance, ask the provider to demonstrate an eligibility check during a sample patient call. Ask what eligibility information is returned and where your team can review it. An eligibility check should not be presented as a final treatment quote or a guarantee of payment.

Callura’s AI voice agents can check availability, book or reschedule an appointment, and verify insurance eligibility in a single phone call. The information available depends on the insurer’s response. Read [how insurance eligibility verification works during a call](https://www.blog.callura.io/callura-blog/insurance-eligibility-verification).

Also ask to see the SMS confirmations and follow-up messages. Review the wording and timing from the patient’s perspective: is the next step clear?

## 4. Make the handoff and launch plan concrete

Your team needs to know what happens when a caller asks for a person. Test the handoff while the office is open and discuss how staff follow up after hours.

Callura can transfer a call to the live front desk. If nobody is available, it leaves a note in the Callura dashboard for staff follow-up.

Before launch, ask who will gather your practice information, review the call flow, test scheduling rules, and handle changes. A clear launch plan should state both elapsed time and the time your team needs to contribute.

Callura onboards practices in under one week and requires less than two hours of the client’s time.

## 5. Measure the outcome you want to improve

Choose a specific starting point, such as after-hours new-patient calls or scheduling calls during busy periods. Agree on the reporting period and how you will distinguish answered calls, bookings, and patients who attend.

- **Booking outcome:** How many eligible calls resulted in an appointment?
- **Staff workload:** Which calls were completed without another task for the front desk?
- **Patient experience:** Were answers accurate and next steps clear?
- **Total cost:** What is included, and what triggers additional charges?

Ask for a case study that explains the customer, timeframe, and measured result. In Callura’s [Slim Dental case study](https://www.blog.callura.io/en/slim-dental-84-new-patients-in-3-months-callura), Callura reports 84 new patients from after-hours calls across three Manhattan locations over three months. The page includes the customer testimonial and separates reported patient results from illustrative lifetime-revenue estimates. Individual practice results vary.

## Your demo checklist

Before making a decision, make sure you can answer these questions:

1. Can the agent handle our common questions and a change of request?
2. Can we see bookings and rescheduling reflected in our PMS?
3. What insurance eligibility information can our team review?
4. What SMS confirmations and follow-up messages do patients receive?
5. What happens when the caller needs a person?
6. What does our team need to do before launch?
7. How will we measure outcomes and understand the full cost?
